The Vendor is required to provide graphic design and destination marketing services for include:
• Perform a variety of communications and destination marketing tasks in support of city projects and initiatives.
• These tasks may include graphic design, logo and brand asset development, creative direction, videography and photography, multimedia production, infographic design, print and digital production, media buying and other related marketing and design services.
o Develop or assist in the development of advertising and marketing strategies
o Develop or assist in the development of destination branding.
• Design digital and print copy and layouts for use in video productions, social media, and digital and print advertising campaigns, as well as marketing and performance reports.
• All graphics will be appropriately formatted and optimized for general user devices and standard specifications used by visit las cruces and its media vendors.
• Develop and produce multimedia marketing assets, including video and photography shoots, audio and visual commercials, digital marketing content, and animations.
• Manage production from concept through post-production and final delivery.
• Maintain a comprehensive electronic library of all work performed and assets produced for city, including final deliverables and all associated editable and source files, and provide city with full access to all files in an organized and easily accessible format.
• All files and deliverables must be compatible with city systems.
• City currently uses the latest version of adobe creative cloud, and all editable and source files and final deliverables must be provided in formats that can be opened, edited, and played on both pc and mac operating systems.
• File sizes and resolutions must be practical for typical user-operated devices; ultra-high-resolution formats (e.g., 4k) will be avoided when not necessary or compatible, this includes print and audio and visual files.
• Demonstrate the ability to meet deadlines established by the md and proactively communicate with the md or designee if a deadline cannot be met.
• Meet regularly (weekly, or as directed) with the md to discuss new and ongoing projects.
• Maintain a detailed, year-by-year project log of active and completed work, including links to downloadable assets easily accessible to md and city staff.
• Coordinate print production and vendor execution as needed, including preparing notes and working directly with media vendors (including print, commercial, video production, website, etc.) to ensure consistency and quality across all city communications.
• Obtain written vendor quotes for projects funded by city and submit them to the md or designee for approval in accordance with the city’s procurement code.
• Upon approval by the md or designee, perform media buys on behalf of city across digital platforms (including social media, digital advertising, SEM, etc.) and traditional media (including print, radio, television, etc.).
• Media buy costs will be reimbursed within 30 days of receipt of monthly invoices; some placements may be invoiced monthly, while others may be billed annually.
• Have the capacity to perform media buys on behalf of city not to exceed $10,000 monthly, upon approval from the md or designee, which will be reimbursed within 30 days of receipt of monthly invoice.
• This will cover a broad range of digital (social media, banner advertising, lead generation services) and traditional media (print, outdoor, TV, etc.).
• Some of these items will be invoiced monthly and others are charged on an annual basis.
• Submit an itemized invoice to city on a monthly basis for services rendered, no later than an agreed upon date each month, covering services provided during the prior month.
• Other tasks include, but are not limited to:
o Conduct research and data collection as needed to support project execution and recommendations, particularly for technically driven initiatives such as search engine marketing (SEM).
o The selected firm is expected to remain current on industry trends and best practices and to provide data-informed rationale for recommendations.
o Research methods and data requirements may vary by project, and the firm shall apply its expertise and analysis accordingly to support ongoing services.
o Ensure that all graphic, layout, audio and visual materials comply with applicable ADA accessibility requirements, including the use of accessible design standards and the inclusion of all necessary ADA-compliant language, formatting and features for pdfs and digital media.
