The Vendor is required to provide vehicle, equipment, and facility graphic production, installation, and removal services for its diverse fleet and municipal facilities.
- Clearly marked municipal vehicles and buildings with recognizable imagery are essential for enhancing public recognition, projecting professionalism, improving safety and security, and facilitating community engagement.
- Work schedule
• Monday through Friday from 8:00 a.m. To 5:00 p.m. after-hours and weekend installation may be allowed with prior approval, no more than two (2) business days in advance, from the director of fleet, or the project manager as assigned.
• Facilities will be closed during city holidays.
- Staffing
• Due to the fact that a vast volume of the work will be performed on public safety vehicles, police vehicles, and secure municipal facilities, the selected contractor is required to perform background investigations and drug tests for any of its employees prior to them performing work on any city asset or property.
• This update protects the city by keeping sensitive data out of your portal, saves the vendors money during the bidding phase, and gives your project manager the authority to demand the certification once the contract is actually signed.
• Provide the number of local installers and designers in their staff and provide installation certification held by the installers.
• Provide points of contact who will manage all of the services described to ensure an integrated product that meets cost expectations and timing requirements.
- Turn-around time
• Turn-around times are calculated from the time that the director of fleet, project manager as assigned gives contractor a notice to proceed.
• The city may order graphics material prior to units arriving in order to expedite the process.
• The expected turn-around time is to provide printed graphics within seven (7) business days and to complete installation within ten (10) subsequent business days from the initial notice to proceed (totaling 17 business days).
- Installation
• The contractor shall produce, print, furnish, and install quality vehicle graphics as required. The contractor shall be responsible for quality control and for ensuring that the printed product matches the approved graphic proof, the required dimensions, the graphic colors, and the agreed-upon media type.
• Solely responsible for the quality of the installation at the contractor's expense; the city reserves the right to request that the contractor correct any defects resulting from poor materials or installation practices.
• Such requests shall be issued by the city in writing.
• Correct defect(s) within seven business days, at no cost to the city.

- Facility and architectural graphics
• The city may occasionally require the contractor to produce and install graphics on municipal facilities, including but not limited to drywall, exterior brick and stucco, glass windows, and indoor flooring (e.g., indoor courts).
• To maintain consistency and durability, all materials utilized for facility and architectural graphics must be manufactured exclusively by 3m.
