The vendor is required to provide payment accuracy innovation effort services to sustainable improvements that can adapt to policy changes and will persist despite workforce turnover.
1. Early-warning analytics:
• Implement tools and services that enable early detection of high-risk cases and systemic errors.
• Use recent case activity, caper, and qc results to provide near- or real-time identification of where payment errors are likely to occur.
2. Dashboards:
• Develop actionable dashboards and analytics for continuous monitoring and course correction in near- or real-time.
• Design a configurable interface that visualizes per trends and highlights top error drivers.
• Link data and findings to targeted recommendations for addressing common error types.
3. Pre-issuance quality controls:
• Automatically route or flag the riskiest 10% of cases for mandatory supervisory or secondary review.
• Support risk-based secondary review, risk-based prompts, pre-issuance checks, and predictive error modeling to proactively improve case accuracy.
4. Interview and decision support:
• Equip workers with decision-support tools and real-time prompts.
• Integrate policy chatbots to support informed and effective decision making.
• Provide guided scripts for workers that prompt key questions, flag missing documents, and link directly to relevant guidance.
5. Client-centered communication tools:
• Provide mobile-friendly tools for document submission, automated reminders, and real-time status updates.
• Leverage ai-powered interview tools to pre-screen and collect information before human interaction.
• Implement communication options such as text and email to engage clients and reduce delays or errors.
• Incorporate behavioral prompts during the application process to reduce client-driven errors.
6. Verification and data matching:
• Implement secure, automated data exchanges to verify or match information such as wages, unemployment status, child support, SSA and SSI benefits, and landlord verification.
7. Document capture:
• Use optical optical character recognition (OCR) or ai to provide validation prompts and ensure completeness of submitted information.
• Analyze unstructured data to extract insights and identify possible errors or missing information.
• Pre-populate data fields to streamline the application process in common help and support validation and data collection in system.
8. Workflow analysis:
• Identify workflows that cause bottlenecks, frequent errors, or unnecessary handoffs and provide recommendations to improve performance.
• Use data from system or rush more to improve workflow management and highlight opportunities for training and process improvement.
• Review and revise the snap manual to strengthen search functionality and incorporate feedback from departments.
9. Change management:
• Develop and deliver training, micro-learning, checklists, videos, or job aids to help reduce snap per, targeting either workers, citizens, or both.
• Enable knowledge-sharing across all 120 departments to promote consistency and continuous improvement.
