The vendor is required to provide transcription service, as-needed that will accurately capture spoken content into written format, ensuring clarity, precision, and adherence to academic standards.
- This involves transcribing audio recordings from lectures, seminars, interviews, and other academic-related activities conducted at college.
- Transcription services:
• Accuracy: transcriptions must be at least 99% accurate.
• Any errors in transcription, including spelling, grammar, and punctuation, will not be acceptable.
• Turnaround time: the standard turnaround time for a requested transcription must be within 48 hours of receiving the audio file.
• For urgent requests, a 24-hour turnaround service should be available at an additional cost.
• Audio formats: the vendor must support a variety of audio formats, including but not limited to word, pdf, text, wav, mp3, and AAC.
• Confidentiality: all transcription services must comply with FERPA (family educational rights and privacy act) regulations and maintain the confidentiality of student records and personal information.
• Vendors shall implement necessary measures to ensure data security.
• Formatting: transcriptions should follow a standard academic format with timestamps every 5 minutes, speaker identification where applicable, and any necessary formatting for ease of reading.
• Quality assurance: the vendor must have a quality assurance process to review completed transcriptions for accuracy before delivering them to college.
• Customer support: a customer support hotline or dedicated contact person should be available to address any urgent concerns or questions from college staff.
• Compliance with ADA: transcription services must also comply with the Americans with disabilities act (ADA) standards of the rehabilitation act to accommodate students with disabilities.
• Sample work: vendors must provide samples of prior transcription work for review, demonstrating their capability to produce high-quality transcripts.
