The Vendor is required to provide comprehensive Information Technology (IT) services for the school district.
- All employees involved in the company must have proactively completed a comprehensive CJIS background check.
- Provide a shared service model ensuring strategic IT support, proactive management, robust security solutions, and a team of specialized field experts tailored to the school’s needs.
- Highlight experience in managing IT infrastructure, regulatory compliance, and scalable technology solutions, particularly within similar organizations.
- Staffing & Support
• Live Virtual Support – IT support via video, live chat, or phone 24/7.
• On-Site IT Technician – Dedicated personnel for daily IT needs.
• Assigned IT Director – Ensures contract compliance, strategic IT planning, and direct communication with leadership.
• System Administrator & Network Security Specialist – Monitoring, troubleshooting, and maintenance of IT infrastructure.
• Help Desk Support – Real-time issue tracking via an intuitive ticketing system during school hours.
• SIS & Data Management Specialists – Support for Student Information Systems (SIS) and state reporting.
• Procurement Specialist – Manages IT hardware/software procurement.
• Ticketing System – Fully functional system (preferred: Zendesk) for issue tracking and resolution. Certified Education Technology Leader (CETL) – The contractor must have a CETL on staff.
- IT Infrastructure & Network Security
• Remote Monitoring & Management (RMM) – Includes patch management, firewall security, network monitoring, and incident response.
• Proactive Threat Detection – Managed Endpoint Detection and Response (EDR) 24/7.
• Backup & Disaster Recovery Planning – Solutions to maintain data availability and system continuity.
- Datacenter & Cloud Hosting
• Transfer of Website and Data – Transfer of all information, backups and data on current servers and website from our current IT vendor, with detailed timelines of completion.
• Hosted Domain Controller Server - This server is a hosted Windows Server which will act as an Active Directory domain controller. Please indicate the physical location of all servers.
• File and Print Server – Windows hosted server with ample RAM, storage and back up services.
• Private Cloud Hosted Website – Vendor will host our single website with appropriate cloud storage and disk space storage for backups.
• Client Access / Website Management – Vendor will provide access to the admin panel of website and the content management system (CMS) and provide file access via FTPS (file transfer protocol secure over SSL) for uploading files relevant to site.
- IT Consulting & Procurement
• Procurement Assistance – Vendor-neutral recommendations ensuring cost-effective technology purchases. Vendors must not have direct financial incentives tied to specific hardware/software sales.
• Asset Inventory & Lifecycle Management – Tracking of IT assets and proactive replacement planning.
• Strategic IT Budget Planning – Short-term and long-term planning aligned with client objectives.
• E-Rate & Grant Assistance – Maximizing funding opportunities for technology investments. Reporting – Detailed analytics and reports on IT operations and performance.
- User Training & Policy Development
• Security Awareness Training – Includes phishing simulations and compliance training. Teacher & Staff Tech Training – Custom in-person and virtual sessions.
• Policy & Procedures Documentation – Covers onboarding/off boarding, IT security policies, and incident response protocols.
• Compliance – Adherence to state compliance standards and protocols (WISP, student data privacy, etc.).
