The Vendor is required to provide IT asset disposition (ITAD) services to support the secure collection, data destruction, and environmentally responsible recycling or remarketing of retired IT assets across multiple departments.
1. Collection and logistics
• Coordinate pickup of retired IT equipment from airport.
• Pickup must be scheduled in advance with a minimum of 72 hours’ notice
• All services shall be performed during commission business hours (8:00 a.m. – 5:00 p.m.) unless otherwise approved
• Provide all labor, transportation, and equipment necessary for removal
• Responsible for ensuring all loading and work areas remain clean and free of debris (FOD)
2. Security and chain of custody (mandatory)
• Must maintain a documented chain of custody from pickup through final disposition
• Must utilize GPS-tracked transport vehicles for all asset movement
• A signed manifest must be completed at time of pickup documenting asset count and type
• Personnel must comply with all airport security requirements, including badging if required
3. Data destruction (mandatory)
• Data-bearing devices must be sanitized or destroyed in accordance with NIST SP 800-88 revision 1 standards
• Vendor shall provide a serialized certificate of destruction (cod) for all applicable devices
• Certificates must be provided within 15–30 days of pickup
4. Asset categorization and processing
• Servers, switches, laptops, desktops, tablets, and network equipment
• Monitors, keyboards, cabling, docking stations, and peripherals
• Lead-acid batteries (ups systems), bulbs, and other regulated components
5. Environmental and reporting requirements
• Ensure environmentally responsible recycling and disposal practices
• Provide reporting that includes:
o Total weight diverted from landfill
o Carbon footprint savings (co₂ equivalent), if available
o Final downstream disposition of materials (e.g., copper, plastic, glass)
6. Financial structure
• May propose fair market value (FMV) for remarket able assets
• Any revenue share or credit structure shall be clearly defined in the vendor’s response
• Pricing shall reflect total cost of service, inclusive of all labor, transportation, and processing.
