The Vendor is required to provide project management, implementation advisory, and operational support services related to public safety technology modernization initiatives.
- Services may support enterprise public safety systems and related operational technologies, including but not limited to:
• Jail Management Systems (JMS)
• Computer Aided Dispatch (CAD)
• Records Management Systems (RMS)
• Corrections and detention applications
• Public safety interfaces and integrations
• Data migration and reporting initiatives
• Operational workflow modernization efforts
- Project Planning and Coordination
• Participate in and facilitate project discovery, requirements gathering, and operational workflow sessions.
• Assist the County in documenting project goals, objectives, scope, assumptions, dependencies, and operational requirements.
• Coordinate with County staff, software vendors, integrators, and third-party stakeholders to support project execution.
• Assist with development and maintenance of detailed project implementation schedules and milestone tracking.
• Provide project governance support, including meeting coordination, status reporting, issue tracking, and escalation management.
• Attend meetings, workshops, testing sessions, steering committee meetings, and project status calls as requested by the County.
• Provide written meeting summaries, action items, risk logs, and status documentation following meetings and project activities.
- Resource and Operational Readiness Support
• Assist the County in identifying staffing, operational, and technical resource requirements necessary for successful project implementation.
• Support coordination of project activities across operational, technical, and administrative stakeholders.
• Assist with development and review of implementation readiness plans, operational transition plans, and deployment schedules.
• Coordinate with County stakeholders to help ensure project activities align with operational schedules, staffing considerations, labor agreements, and facility constraints
- Risk, Issue, and Change Management
• Monitor project risks, issues, dependencies, and change requests throughout the project lifecycle.
• Assist the County in identifying potential project impacts and mitigation strategies.
• Escalate critical issues or “showstopper” items to appropriate parties to support timely resolution.
• Track open action items and assist in ensuring accountability among project stakeholders.
- Testing and Quality Assurance Support
• Assist with planning and coordination of system testing activities, including functional testing, integration testing, user acceptance testing, and operational readiness testing.
• Review testing plans, testing schedules, and defect tracking processes developed by software vendors or implementation partners.
• Document testing issues identified during project activities and assist with tracking remediation efforts.
• Assist the County with issue prioritization and go-live readiness determinations.
- Data Conversion and Interface Coordination
• Assist with coordination and monitoring of data conversion, migration, validation, and reconciliation activities.
• Support tracking of interface development and integration activities between County systems, third-party applications, and vendor-hosted platforms.
• Assist in identifying dependencies or delays that may impact project timelines or operational readiness.
• Coordinate with County staff and vendors to support timely resolution of data conversion and interface-related issues.
- Data Conversion and Interface Coordination
• Assist with coordination and monitoring of data conversion, migration, validation, and reconciliation activities.
• Support tracking of interface development and integration activities between County systems, third-party applications, and vendor-hosted platforms.
• Assist in identifying dependencies or delays that may impact project timelines or operational readiness.
• Coordinate with County staff and vendors to support timely resolution of data conversion and interface-related issues.
- Post-Implementation Support
• Assist the County with tracking and resolution of outstanding post-implementation items, including deferred functionality, pending integrations, data reconciliation activities, and operational enhancements.
• Provide post-go-live project support and advisory services as requested by the County.
• Assist with lessons learned documentation and project closeout activities.
