The Vendor is required to provide to ensure jewelry belonging to a client or their estate is accurately appraised, as it will then be liquidated on their behalf to later pay for care or be passed on to their heirs.
- Responsible for conducting inventory appraisals in coordination with the department’s fiscal specialist, completing official inventory records with written valuation estimates, and addressing questions that may arise during the appraisal process.
- Ensure Accurate and Timely Appraisals
• Conduct professional jewelry appraisals in coordination with the agency fiscal specialist.
• Schedule appointment for appraisal ahead of time with agency fiscal specialist.
• Appraise all jewelry items regardless of perceived or initial estimated value (majority of items expected value between $100-$2,500).
• Appraisal of jewelry will be done in the County offices unless prior authorization is given by agency staff.
• Ensure that appraisals are objective, impartial, and consistent.
• Deliver written appraisal reports, including photographs, within two weeks of each appointment to agency fiscal specialist.
• Provide valuations that meet professional industry standards.
- Maintain Compliance and Record Retention
• Complete and submit official department inventory records with written estimates.
• Retain all appraisal records electronically for a minimum of seven years.
• Make records available to agency upon request for audit, review, or case management purposes.
• Safeguard reports from unauthorized use, access or disclosure.
- Support Estate Property Management Administrative Functions
• Respond to questions and needs of the agency fiscal specialist during inventory and appraisal activities.
• Resolve questions that arise during the appraisal process in a professional and timely manner.
• Provide documentation that facilitates estate management and legal proceedings, if necessary.
• Provide reports upon request by the estate property team.

• Support the care needs of agency clients through accurate appraisals of client jewelry.
• Ensure clients obtains fair value for their property.
• Ensure appraisals align with probate court standards.
