The Vendor is required to provide for an enterprise contracting and orchestration solution.
- Readiness Assessment
• Review the current intake processes, routing paths, approval structures, template libraries, and clause inventories.
• Identify process variability across campuses and determine areas that will require harmonization.
• Assess data migration needs including legacy contract repositories, metadata quality, and retention practices.
• Capture existing integrations such as InfoEd, Marketplace, signature platforms, and document storage systems.
- Scoring Model Development
• Develop a scoring rubric that includes usability, AI capabilities, workflow orchestration, clause management, integration fit, implementation strategy, and total cost.
• Create sub criteria for AI functionality such as clause suggestions, summarization, risk flagging, and automated approvals.
- Data Strategy and Migration Pre Work
• Define a metadata model for contracts, clauses, and templates.
• Identify required data clean up steps and a plan to prepare materials for migration.
• Recommend tagging, folder structures, and document naming standards to improve search and retrieval.
- Integration Planning
• Document systems that will require connectors and API integration such as financials, identity, vendor management, and signature tools.
• Identify integration patterns and overall architecture considerations.
• Create a preliminary integration roadmap to guide vendor configuration.
