Availability Study Community Engagement Services

The Vendor is required to provide developing and executing a comprehensive community engagement plan to support the implementation of the vendor availability study.
- The community engagement portion of the study will support and supplement the data collected in the larger study.
- Stakeholder Engagement
• Attend virtual, Hybrid, and In-Person Public Hearings, and Public Forums
• Assist with survey, interviews, and focus group recruitment and follow-up activities
• Ongoing Communication
o Provide regular progress updates and resources throughout the study to keep stakeholders informed and engaged.
o Prioritize personal interactions with local businesses to foster trust and encourage participation.
o Build partnerships with trusted community organizations to ensure effective outreach to underrepresented groups.
• Key Goals
o Inclusive Participation: Adapt outreach methods to ensure accessibility and language diversity.
o Trust and Relationship Building: Emphasize transparency, responsiveness, and community engagement to strengthen stakeholder relationships.
- Project Manager:
• Communicate proactively and cooperate flexibly with City staff.
• Create and manage a detailed project plan and schedule.
• Communicate progress or lack thereof.
• Collaborate with other contractors and City project staff.
• Serve as liaison between City and Contractor resources.
• Serve as liaison with City departments.
• Initiate quality assurance processes to monitor the project.
• Identify and manage issues and risks.
• Serve as a point of escalation for project issues.
• Manage the deliverables acceptance process.
• Provide routine communications with the City project coordinator.
- Community Engagement Specialist
• Collaborate with the data vendor to recruit participants for interviews, focus groups, surveys, and public hearings.
• Serve as a bridge between the consulting team and community stakeholders to foster trust and ensure meaningful input is incorporated into the study.
