The Vendor is required to provide professional project management services to plan, administer, and oversee a of zone 7 infrastructure, construction, and repair projects.
- The Consultant(s) will coordinate, procure, and oversee such work through existing on call professional services and construction management contracts already held by the Agency.
- General Project Management/Communication
• Conduct a standing weekly status meeting with zone 7 project management leadership, monthly portfolio review meetings, and ad-hoc meetings as needed.
• Participate in onboarding meetings with zone 7 project management staff to review the status of each assigned project, ongoing on-call consultant and contractor engagements, and zone 7's expectations for reporting, communication, and document management.
• Assume project management responsibilities at the project's current state, coordinate with on-call consultants and contractors already under contract and maintain continuity of project records and decisions made prior to engagement.
• Upon completion of the contract term, or upon zone 7's request, provide a comprehensive handoff of all project records, in-progress documents, action items, schedules, budget status, outstanding issues, and contractor/consultant relationship notes to zone 7 or to a successor consultant. The handoff shall be sufficient to enable zone 7 or the successor consultant to assume project management responsibilities without loss of project continuity.
- Project Initiation & Planning
• Develop project scopes of work and project work plans
• Establish project schedules, milestones, and resource plans
• Develop project-level budget estimates
• Coordinate with zone 7 stakeholders to define project objectives and success criteria
• Identify project risks and develop mitigation strategies
- Design Document Preparation & Management
• Oversee preparation of design criteria and basis-of-design documents
• Coordinate with on-call design consultants to develop construction documents, plans, and specifications
• Manage design review processes
• Maintain design document control and version management
• Coordinate with other agency staff for permitting activities
