The Vendor is required to provide insurance brokers to provide comprehensive brokerage services for secondary insurance coverage supporting collegiate athletics starting July 1, 2026.
- Broker will serve as a strategic advisor, ensuring compliance, cost efficiency, and high-quality service for student-athletes, families, and athletic staff.
- Services & Requirements
• Dedicated service & communication
o Assign a dedicated account representative to manage all aspects of the relationship.
o Provide direct communication support for student-athletes and parents, including claims and coverage inquiries.
o Develop and distribute a preseason parent communication letter outlining primary insurance requirements, verification processes, and coverage details.
• Insurance verification & compliance
o Coordinate and manage insurance verification for all student-athletes at the beginning of fall and spring seasons.
o Ensure verification aligns with and is benchmarked against university insurance requirements.
o Identify gaps in coverage and recommend solutions to ensure compliance immediately.
• Advisory & strategic support
o Serve as a subject matter expert in collegiate athletic insurance by providing guidance on developing, reviewing, and optimizing secondary insurance requirements, policies, and processes.
o Advise on strategies to minimize premiums while maintaining appropriate coverage levels.
• Coverage expertise & placement
o Demonstrate expertise in securing and managing:
1. Secondary insurance coverage
2. Accident and/or primary insurance policy options
o Provide coverage solutions for:
3. Varsity athletics (including cheer and dance)
4. Tryouts and camps
5. Act-required and catastrophic coverage
o Ensure all policies are compatible with regional healthcare providers in county.
• Claims management & reporting
o Provide a centralized dashboard for athletic training staff and administrators to track claim status in real time.
o Advocate on behalf of the university’s athletic department in claims processing and adjustments.
o Offer ongoing claims guidance and resolution support to ensure timely and accurate outcomes.
• Collaboration & on-site support
o Conduct periodic on-site meetings with sports medicine and athletic administration staff.
o Collaborate closely with internal stakeholders to improve processes and outcomes.
• Staffing & Expertise
o Preference for brokers with dedicated staff experienced in sports medicine and athletic-related insurance.
o Demonstrated understanding of the unique risks and coverage needs of collegiate athletics programs.
• Compensation Structure
o Preference for a fee-based compensation model with transparent pricing.
