The vendor is required to provide off-site transcription services for reports on an as-needed basis.
- Transcription services shall include the following:
• Consultant shall provide all materials, labor, and equipment to transcribe confidential administrative recordings from various media which include call-in dictation systems, hand-held recorders, videos, and interviews with multiple speakers.
• Transcript format
1. Documents are to be transcribed in microsoft word on 8 ½” x 11” sheet of paper;
2. Single-spaced with consecutive line and page numbers;
3. Courier new font with one-inch margins;
4. Date of interview being conducted, including names of the interviewer and interviewee.
• Consultant must have a website where digital recordings can be received and uploaded to a secure internet site and provide the city the ability to download completed transcriptions in the field via laptop or smartphone
• Consultant must have the ability to complete and return transcriptions as directed by the city representative at least within the following:
1. 12-24 hours – dictation, interviews, & video transcription (urgent)
2. 24-72 hours – dictation, interviews, & video transcription (non-priority)
• Ability to transcribe 5 to 50 hours of audio per month.
• Electronic archive of all transcribed reports for a minimum of one (1) year.
• Consultant shall provide transcriptions that are complete, accurate and reflect the full and complete verbatim record of recordings provided.
• Consultant shall perform ongoing quality reviews of transcription consisting of proof listening and reading of reports for content, grammar, spelling and contextual accuracy.
