The Vendor is required to provide social media archiving solution:
• Comprehensive archival of the communications sent and received across all city and agency social media sites;
• Authentic capture of records, complete with metadata, obtained directly from each social network's APIS;
• A searchable database of the records produced;
• Reproduction of social media records in a manner that resembles the original content; and
• Provide organizational management capabilities that allow for oversight of the social media records across multiple users and departments.
• Individual users and departments shall be able to access their own relevant set of records in the event of a records request or legal discovery, without the assistance of it or a system administrator;
• Specialize in social media demonstrating a level of detail and comprehensiveness in data capture;
• In addition to authentic capture of records with full metadata, apply digital signatures to each independent record in the archive to ensure that records can serve as legal evidence, if required;
• Reproduction of social media content user interface replays social media content in the same manner as it appears on the social network.
• Example: all videos can be replayed, photos can be displayed in full resolution, and conversation threads can be dynamically expanded.
• This level of reproduction significantly enhances the ability to produce all relevant records in a timely manner;
• Provide an advanced interface for being able to instantly refine search results and export specific sets of content in response to a records request.
• Content can be exported in a variety of formats including pdf, html, and csv depending on city agency requirements;
• Provide e-mail alerts based on keywords, dictionaries, alpha-numeric strings, and fuzzy logic around grammar that allows for quicker response time for moderation of social media accounts and faster citizen service.
• This requirement must already be implemented and part of the archive services; and
• Provide quantitative reporting for internal development of metrics around social media that allows greater insight into improving internal processes and significantly higher levels of external citizen engagement options for exporting content into a static format.
