The vendor is required to provide for an automated software system that provides the functionality needed to run the annual giving calling program.
- Automated calling program:
• The system must be an internet-based software platform for automated fundraising calls.
• An internet-based solution is preferred, proposals for cloud-based solution must already be TX-ramp compliant and certified.
• The software must have single sign-on (SSO).
• The software should support a minimum of eleven (11) calling stations over a 12-month term, with the option to scale the number of stations up or down as needed.
• The automated calling system must be compatible with the existing cisco PBX (VOIP).
• The software must provide the following reasonable assistance and guidance:
• Loading and importing data from the raiser's edge database.
• Creating call segments and calling pools.
• Crafting email responses.
• Performing regular system backups.
- The integrated credit card processing system must be PCI-DSS compliant and seamlessly work with the university’s existing touch net payment processing system.
- Data management:
• Data management must be included in the pricing, with flexibility to upload additional data (including data exported from raiser's edge) without incurring additional fees.
• The software must support various data formats, such as csv or xml, and offer customizable call management options.
- Giving day program
• The system must be an internet-based platform designed for hosting annual giving day fundraising events.
• The software must have single sign-on (SSO).
• Customization and branding: a custom site must be created to align with the approved agency brand guidelines.
• Support and training: the provider must offer assistance in the following areas:
1. Technical training for the giving day platform.
2. Training on running the giving day platform to ensure successful execution.
• Reporting:
1. Provide access to detailed, educational fundraising-specific reports.
2. Enable post-giving day data reconciliation to ensure accurate reporting and donor stewardship.
- Crowdfunding program
1. The system must be an internet-based platform tailored for crowdfunding events.
2. The software must have single sign-on (SSO).
• Customization and branding:
1. A custom site must be developed to comply with the approved agency brand guidelines.
2. The system should allow for customizable giving pages that encourage donors to contribute year-round.
• Support and training: the provider must offer the following support and training:
1. Technical training on using the crowdfunding platform.
2. Training on organizing and managing crowdfunding events effectively.
• Reporting:
1. Provide access to detailed, educational fundraising-specific reports.
