The vendor is required to provide from qualified software providers for provision and deployment of a bids and contracts management system.
- Operational requirements
• Single combined platform for all bids and contracts documents
• Workflow functions for both bids and contracts
• Web face for publication of bids and contracts, including capacity for distribution of information
• Secure receipt of bids and proposals, accessible by city staff after due date and time for bids
• Scheduling and tracking for insurance expirations and cancellations
• Scheduling and tracking for annual supply contract expirations
• Integration into the Munis environment for management of encumbrances and payments
• Easily accessible reporting tools, including the ability to export data
• Vendor data shall be capable of being synchronized with vendor files within Munis
• Purchase orders are anticipated to continue being generated via Munis
- Systems designed as internal solutions shall provide, as part of its submission, information on hardware and operating environment requirements for the proposed system; such information shall include but not limited to:
• Anticipated storage space needs
• All third-party licensing requirements necessary for operation of the system that are not included as part of the base system as proposed.
