RFP Description

The Vendor is required to provide for a web-based communications solution to facilitate effective two-way communication between teachers, parents, and administrators.
- The most suitable web-based solution shall enhance engagement, improve multi-language collaborations, and ensure security for all stakeholders.
- Our current systems face challenges in scalability, integration with existing technology environments, and ease of use.
- The platform shall provide communication in the oral and written language requested by the parents on their home language survey, including all direct messages, announcements, documents, and attachments.
- Teacher Communication Features
• Classroom announcements: teachers can post assignments, updates, and announcements visible to all students and parents.
• Individualized messaging: secure, private messaging between teachers and students or parents for specific queries or concerns.
• Student progress & feedback: ability to send grades, comments, and progress reports directly to students and parents.
• Calendar & scheduling: integration with academic calendars and the ability to schedule meetings or parent-teacher conferences.
• Collaboration tools: access to shared documents, resources, and virtual class sessions (video conferencing).
• Automated alerts & reminders: automated notifications for important deadlines, events, and assignments.
- Parent communication features
• Parent portal: a dedicated space for parents to view announcements, report cards, assignments, and teacher feedback.
• Real-time updates: notifications for homework submissions, grades, attendance, and school events.
• Communication with teachers: secure messaging for parents to communicate with teachers regarding their child’s progress, needs, or concerns.
• Volunteer coordination: tools for parents to sign up for volunteering opportunities and stay informed about school activities.
• Event & activity scheduling: notifications for parent-teacher conferences, school events, or extracurricular activities.
- Student communication features
• Student dashboard: a personalized portal for students to track assignments, grades, schedules, and extracurricular activities.
• Secure messaging: direct, private messaging capabilities between students, teachers, and parents.
• Homework submission: tools for students to submit assignments, receive feedback, and track progress.
• Learning tools: access to online learning resources, discussion forums, and virtual study groups.
• Extracurricular activity updates: notifications about clubs, sports, and other student activities.
- Administrator communication features
• Centralized communication hub: administrators can broadcast important messages to teachers, students, and parents.
• Event & calendar management: school-wide event management, including scheduling assemblies, holidays, and conferences.
• Reports & analytics: data on communication patterns, engagement levels, and usage analytics to improve outreach.
• Emergency alerts: a system for sending emergency notifications to all stakeholders in case of school closures, emergencies, etc.
• Solutions cannot charge for services either through subscriptions or single-time fees.
• Monetization is prohibited unless separate, outside internet connections are used.
- Requirements:
• Solutions must run on standard ports. 
• Solutions must provide support through district VPN or LogMeIn.  
• Team viewer cannot and will not be allowed. 
• Solution must accept static and DHCP IP addresses. 
• Solution cannot communicate with Vimeo, this service is blocked district-wide and cannot be
unblocked. 
• Solution must support third-party SSL certificates for hosting and network decryption. 
• If server or workstation-based, the solution must be able to run the district’s designated anti-virus
software. 
• Regular updates need to be pushed to the device with a schedule for updates included. 
• Traffic passes through firewalls and network fabric; this cannot be bypassed. 
• There is no routed multicast traffic allowed. 
• Ipv4 only. 
• Solution must allow for host name changes. 
• Solution supports 802.1x authentication for wireless interfaces. 
• URLS required for the solution must be specific.  
• If workstation-based, the solution must support non-admin users with windows 11 support. 
• Streaming must take place over a wired connection. 
• If multiple devices are used, they cannot rely on a unique public IP address for each device.  
• Multiple devices will be behind a single public IP address. 
• UPNP is not permitted. 
• Google services cannot be relied upon to make the solution work. 
• Solution must support multi-factor authentication. 
• Solution cannot run on android OS. 
• Solution cannot support only mobile device setup.
- Provide verification that they meet all federal guidelines for being website and mobile app accessible under the new web content accessibility guidelines (WCAG 2.1 AA).
