RFP Description

The vendor is required to provide to assess the current enterprise resource planning (“ERP”) environment (banner) through a comprehensive consulting engagement.
- The desired outcomes for this engagement are:
• Evaluation of current state of the shared ERP environment, third-party applications, and internally developed add-ons.
• Gather the comprehensive ERP business needs from each of the organization’s key stakeholders.
• Identification of deficiencies created by the current platform configuration(s), business processes, and underlying data architecture.
• Identification of efficiencies that may be attained through technological improvements or innovations including leveraging cloud-native solutions when feasible and realistic.
• Summary of functionality required for a unified, future-state ERP environment fully supporting the strategic priorities of university and each of the component institutions.
• Evaluation of opportunities for improvements within the current ERP platforms and related applications to deliver future-state functionality and support current and emerging business needs, including shared, and unified course catalogs, where applicable.
• A recommended plan to achieve university and component institution strategic outcomes through the realignment of technological tools, processes, and policies in regard to the ERP environment.
• Evaluation of compliance and risks of current and planned ERP systems.
• Assist with drafting and executing an RFP to determine an optimal ERP system or combination of systems which supports integrated and connected enterprise systems, but that serves in the best interest of university and the component institutions.
• Assist with drafting and executing a RFP to choose an implementation partner who can ensure the successful deployment and integration of the ERP system.
- Key challenges with the current state are:
• Differences in system configuration create difficulty in creating consolidated reporting and the sharing of data sets.
• The proliferation of custom-developed and 3rd party applications to address functionality gaps in banner functionality and the associated levels of resource investment for the ongoing program maintenance.
• Limited ability to address scalability concerns specific to each campus in terms of workflows and the processing of various sized transaction volumes
• Limited ability to develop system automations for joint programs between component institutions
• Code-based barriers to promoting greater academic collaboration across institutions (e.g. shared catalog, native and portable credit opportunities, course and program cross-listing, collaborative degree programs)
• Product support issues related to running different banner application versions
• Limited ability to address mission-specific items between general academic institutions, health-related institutions, research, etc.
