The vendor is required to provide to secure a software application licensure, services, hardware, and maintenance contract for an inventory management software application for use by the city, primarily department.
• Obtain an inventory tracking system that will manage:
o Clothing
o Station supply
o EMS (emergency medical services) supply
o Fleet maintenance
o Parts supply
o Fuel tracking.
• Implement an efficient asset management system for tracking medications, employee equipment i.e. shirts, hats, pants, helmets, etc. and station inventory.
• Implement an efficient asset management system for tracking assets between the warehouse, stations, field, and usage.
• Implement an efficient asset management system for tracking medication use and supply expirations.
• Support barcode scanning, RFID and signature pads to account for the transfer of inventory items.
• Integration with inventory database at a level that will register expiration dates for clothing, parts, supplies, and trigger e-mail notifications of upcoming expirations in time to retrieve the items from field users and also with enough warning to order new items.
• Support assignment transfers and inventory transfers with signature authentication.
• Integrate with ePCR system for medication usage and replacement ordering.
• Track stock issuance, quantity and to whom
• Integrate with city security tools (ad/okta) for authentication
• Integrate with city software solutions as required salesforce, workday, etc.
• Ability to integrate with narcotics loc box in the ambulances
• Streamline onboarding of personnel and facilitate initial asset/tools/clothing assignments.
• Streamline the process of stocking and pulling of inventory in department supply warehouses.
• Migrate data from existing m5 inventory solution.
• Provide reporting and monitoring tools (with alerts) to managers and staff.
• Guarantee that department information regarding inventory quantities and spending habits are not shared with any outside party and is not monitored by the company that is awarded the contract for the solution proposed herein.
• Full implementation of the functionality required, including ad-hoc reporting, notifications & alerts, customer portal, and shop portal and interfaces to identified external systems.
• End user and administrator training on the use of the new system and equipment (where applicable) - Activities include but are not limited to:
• Acquisition, installation, and configuration of a new licensed inventory solution which closely matches processes as defined in the requirements and the business process and flow diagrams shown in the specifications.
• Acquisition, installation, and configuration of any additional hardware to facilitate the installation of a new inventory tracking solution.
• Acquisition, installation, and configuration of additional hardware to facilitate the installation of the new apparatus GPS tracking solutions and applications.
• Training of internal users and administrators on the use of the new solution and equipment (where applicable).
• Convert, sanitize, and migrate data from department current inventory software system to the proposed new inventory and fleet management system.
• Fleet management and related warehouse functionality.
