RFP Description

The Vendor is required to provide a comprehensive generative artificial intelligence (AI) platform that supports district-wide educational and administrative goals for k-12 education.
- The platform is expected to enhance the personalized learning, improve operational efficiency, and empower teachers and administrators with actionable insights.
- The chatbot must provide seamless, 24/7 digital engagement for students and staff.
- Artificial Intelligence (AI) Capabilities
• AI-driven conversational interface that engages students in a natural and personalized manner.
• Advanced Natural Language Processing (NLP) to handle complex student inquiries related to providing predictive analytics, personalized learning pathways, and administrative efficiency tools.
• Capability to share relevant content such as videos, links, and documents within conversations.
- Teacher Functionality:
- Lesson Planning: The platform should assist teachers in creating lesson plans that are aligned with curriculum standards and address diverse learning styles. This may include features like:
• Generating learning objectives, activities, and assessments based on chosen topics and standards.
• Providing suggestions for differentiation strategies and personalization to meet individual student needs.
• Creating plans for professional development and planning units.
- Content Creation: The platform should offer tools for teachers to generate various educational content, including:
• Engaging presentations and multimedia materials.
• Personalized learning activities and worksheets.
• Open-ended prompts and creative writing exercises.
• Formative and summative assessments tailored to specific learning objectives.
• Correspondence and communication support.
• Easily exporting created content to our Google Drive platform. - Instructional Support: The platform should provide ongoing support to teachers throughout the instructional process, such as:
• Offering ideas and feedback on lesson plans and content creation.
• Suggesting instructional strategies and best practices for differentiation and personalization including adjusting reading level.
• Generating presentations and other forms of instructional support such as images.
• Provide assistance with interventions and ideas with IEPs, 504s, BIPs and other student support.
- Personalized Learning: The platform should offer students personalized learning experiences that cater to their individual needs and learning styles. This may include features like:
• Personalized Learning:
• Adaptive learning activities that adjust to student mastery levels.
• Personalized feedback and support for students during practice exercises.
• Opportunities for self-directed learning and exploration with an AI tutor or a variety of chatbot.
• Including resources for language translation and also offering varied reading levels.
- Engagement and Creativity: The platform should provide engaging and interactive experiences for students, such as:
• Gamified learning activities to motivate and reward students.
• Creative ideation and writing prompts and tools to spark student imagination.
• Opportunities for students to create their own content (e.g., presentations, stories, images).
• Professional Development: Platform should include a training component so teachers can easily learn the product and all it can do to support them and their students.
• Online training modules which can be done asynchronously
• Options for live virtual or face-to-face models of training.
- Mobile-Friendly and Always Available
• Fully mobile-responsive interface to ensure students can access the chatbot on any device issued across the district i.e. MacBook’s, iPads, etc.
• 24/7 availability, ensuring students can receive support at any time, from anywhere, including outside normal business hours.
- Integration with Systems
• Seamless, real-time integration with the district’s Student Information System (SIS).
• Capability to integrate with additional systems like Power School, Learning Management System or other solutions identified by the district.
• The system must allow for bi-directional data flow, ensuring that the chatbot can retrieve, update, and process real-time information from these systems.
- Single Sign-On (SSO) and User Authentication
• Integration with the district’s existing Single Sign-On (SSO) platform for seamless and secure user access.
• Ability to authenticate users to provide personalized, role-specific responses.
- Professional development:
• Platform should include a training component so teachers can easily learn the product and all it can do to support them and student need.
• Online training modules which can be done asynchronously.
• Options for live virtual or face-to-face models of training
- Security and data privacy
• Platform performs well in our network and technological environment in the district; it is preferred that the solution is web based to ensure no specialized hardware is required.
• Platform guarantees a safe and walled “sandbox” experience for students to use AI tools and declines “non-education related” requests from students as well as flags potentially inappropriate content.
• Platform supports use by students of all grade levels k-12.
• Platform offers a single sign on (SSO) feature compatible with google workspace.
• Platform allows for a speech to text input and read aloud option.
• Platform has a robust data privacy policy and offers appropriate security standards (including compliance with FERPA, COPPA and SOC 2):
▪ Access controls—logical and physical restrictions on assets to prevent access by unauthorized personnel.
▪ Change management—a-controlled process for managing changes to IT systems, and methods for preventing unauthorized changes.
▪ System operations—controls that can monitor ongoing operations, detect and resolve any deviations from organizational procedures.
▪ Mitigating risk—methods and activities that allow the organization to identify risks, as well as respond and mitigate them, while addressing any subsequent business.
 ▪ Platform clearly defines its practices for data usage, storage, ownership and destruction.
- The AI platform must comply with federal accessibility standards (WCAG 2.2) and submit a voluntary product accessibility template (VPAT) to verify accessibility compliance.
- Compliance with federal accessibility standards (VPAT required) and data privacy regulations.
- Reporting, Analytics, and Insights
• The AI platform must offer robust reporting tools to track chat interactions, performance metrics, user satisfaction, and engagement analytics.
• Capability to store chat transcripts for future review and analysis.
• Ability to track and measure the effectiveness of targeted text and email communications triggered by the chatbot based on user interactions.
• Capability to customize reports, export and include access to real time data.
• Availability: Provide 24/7 online and phone support, with guaranteed response times as follows:
1. Critical issues within two (2) hours.
2. Non-critical issues within one (1) business day.
• Onsite Support: Vendor staff must comply with district policies, including always wearing identification.
- Training
• Provide comprehensive training for district, staff including:
1. Onsite workshops for administrators, teachers, and IT personnel.
2. Virtual training sessions and ongoing support.
• Training must be completed and include detailed documentation and user guides.
