The vendor is required to provide grant management support services for the following tasks:
1. Complete grant administration
• Coordination with the agency grant management team and other project partners
• Meeting scheduling/management, including documenting minutes for core project meetings
• Report and document preparation per agency contract requirements
• Support project financial management (budgeting, invoicing, etc.) as directed by harbor department administrative staff
• Receive policy direction from harbor department staff
2. Required contracting
• Support harbor department staff in amending terminal operator subrecipient contract(s) as needed
• Support harbor department staff in coordinating the harbor community benefit foundation on their expected subcontracting
3. Stakeholder engagement and outreach
• Participate in scheduled meetings with stakeholder groups
• Meet with industry partners (including, but not limited to: terminal operators, hydrogen equipment OEMs, hydrogen fueling providers, labor, safety organizations, permitting agencies, and research institutions)
• Support coordination with other agency clean ports program recipients
4. Project management
• Develop and implement a project management plan with key deliverables, in line with agency project-wide guidelines and required reporting forms
• Support harbor department administrative staff in developing invoices for reimbursement from agency
• Manage data received from ongoing terminal projects
• Monitor spending and implementation of community benefits program by harbor community benefit foundation
• Provide routine status reporting to harbor department staff
• Participate in internal or agency project audits
• Complete other tasks as needed under this project
