RFP Description

The Vendor is required to provide a new laboratory information management system (LIMS).
- Provide a comprehensive array of inpatient and outpatient cancer treatment services, as well as a wide variety of cancer research, education, and prevention activities, on a local, national, and international scale.
- Technology solutions that can support our innovative research, clinical operations, and compliance needs.
- We handle both tissue and liquid sample types (e.g., blood, plasma, urine, CSF, saliva, ascites) collected from human and other species, requiring robust subject and specimen management capabilities.
- Track and manage a wide variety of sample types, including tissues (fresh, frozen, FFPE), blood-derived products (serum, plasma, buffy coats, PBMCS), nucleic acids (DNA, RNA, CDNA, CFDNA), cell preparations (immortalized cells, cell pellets, glycerol stocks), and body fluids (ascites, CSF, saliva, urine).
- Accommodate composite containers such as TMA slides with multiple tissue cores/spots, multi-lane flow cells, and multi-chamber PDX cassettes.
- Support full 'family tree' lineage of sample derivations, pooling, and splitting.
- Manage freezer inventory, including support for hierarchical structures (racks, boxes, ln₂ straws) and automated storage integration via APIS.
- Provide chain of custody tracking, multi-site inventory management, and capacity/temperature alerts.
- Store customizable information on human and non-human subjects linked to specimens and research protocols.
- Track IRB protocol versions, study enrollment, and consent status for each subject.
- Manage study-specific questionnaires and survey responses linked to subjects and samples.
- Allow for 'light' workflow configuration performed by lab or internal it.
- Provide real-time sample procurement and QC for grossing room operations.
- Instrument scheduling with maintenance history and conflict prevention.
- Reagent and kit inventory tracking with batch management and expiration alerts.
- End-to-end lifecycle management of internal and external sample requests.
- Customer portal for request submission, tracking, invoicing, and secure document delivery.
- Cost recovery and billing integration for services rendered.
- Must offer options for on premise, cloud (private/public), or hybrid deployment models.
- Designed to support concurrent users, heavy annotation workloads, and long-term growth in data complexity and volume.
