RFP Description

The Vendor is required to provide an integrated, user friendly, and secure digital communication platform.
- The solution should include a district and school website management system, a mass notification and messaging platform, a district mobile app, and a teacher messaging system.
- The website platform should:
• Provide a user-friendly content management system (CMS) with drag and-drop functionality.
• Offer ADA-compliant, WCAG 2.1 A and AA-accessible, and responsive designs.
• Support multi-language functionality with automated and manual translation tools.
• Support two-way multilingual functionality along with accessibility features in multiple languages (text to speech in Arabic, Spanish, Vietnamese, etc.)
• Have integrated search engine optimization (SEO) capabilities.
• Allow for centralized and decentralized content management with user roles and approval workflows.
• Include secure, high-performance hosting with CDN for optimized speed and uptime.
• Provide calendar management, dynamic news feeds, and event scheduling capabilities.
• Offer mobile-responsive templates and customizable school branding.
• Include a built-in analytics dashboard to track user engagement.
• Must support international access.
- Mass Notification and Messaging System
• Support multi-channel communication:
1. Voice calls, SMS, email, push notifications, website alerts, and social media posting from a single interface.
2. Automatic opt-in for parents/guardians with the ability to choose to opt-out. • Allow audience segmentation (district-wide, school-specific, groups, individual messaging).
• Offer automated attendance notifications, behavior alerts, and emergency messages.
• Provide translation capabilities with AI-assisted and manual review options. Include all major languages.
• Offer delivery tracking and engagement analytics (open rates, read receipts, undelivered message reports).
• Include message scheduling and workflow automation for pre-planned communication.
• Ability for staff to call parents without giving up their personal phone numbers.
• Allow mobile access via an admin app for emergency notifications.
- District Mobile App
• Be custom-branded for Poudre School District and available on iOS and Android.
• Sync with the district website and messaging system to display news, alerts, and updates in real-time.
• Provide parent, student, and staff dashboards with access to schedules, assignments, attendance, and grades.
• Support push notifications for urgent alerts and important district updates.
• Include a directory for staff contact information.
• Feature lunch menus, transportation updates, and event notifications.
• Provide a customizable dashboard for different user roles (parents, students, and staff). - Teacher/Coaches/Staff Messaging and Parent Communication System
• Enable secure, two-way messaging between teachers and families, ideally with an oral communication component.
• Support group messaging and individual student communication.
1. This should include a log of communications sent to parents/guardians.
• Provide read receipts and delivery tracking.
• Offer automated translation for multilingual communication.
• Be accessible via both mobile and desktop interfaces and in multiple languages.
• Allow for customized notification preferences for parents.
