The vendor is required to provide to establish a comprehensive uniform rental service that will supply, maintain, clean, and replace uniforms for all employees within the public works and public utilities department.
- Workforce is consistently equipped with professional, clean, and well-maintained uniforms that support their safety, comfort, and productivity while they carry out their responsibilities.
- The service will include the provision of various uniform types, including but not limited to, high-visibility clothing, work shirts, pants, outerwear, and boots.
- Uniform specifications:
- Uniforms
• Work shirts (short sleeve/long sleeve) – durable, breathable, and high visibility in design.
• Pants – heavy-duty, durable fabric resistant to wear and tear with sufficient flexibility for movement.
• Jackets and outerwear – weather-resistant jackets for rain, cold weather, and other environmental conditions; compliant with safety standards such as ANSI 107/osha requirements for high-visibility gear.
• Protective footwear (boots) – include work boots that meet the safety standards for construction and utility work (e.g., steel-toe boots).
- Material and durability
• All uniforms should be made from durable, high-quality, breathable fabrics that allow for comfort and flexibility in outdoor conditions.
• Fabrics should be flame-resistant (FR) or oil/chemical-resistant if required for specific jobs or tasks.
• Materials should be tear-resistant, abrasion-resistant, and able to withstand heavy-duty use.
- Visibility
• All uniforms should include high-visibility reflective tape or material, especially for employees working in low-light conditions or near traffic.
• The reflective tape should comply with ANSI 107 standards for high-visibility safety apparel.
- Sizing
• Uniforms should be available in a wide range of sizes to fit all employees, including tall and big sizes if necessary.
• The vendor should have the ability to accommodate custom orders for unique sizing requirements.
- Weather resistance
• Uniforms for outdoor workers should be weather-resistant, offering protection against rain, cold, wind, and sun.
• High-quality waterproof or water-resistant jackets, thermal wear, and windbreakers should be provided for employees working in harsh weather conditions.
- Uniform customization
• Uniforms to be customized with department-specific logos, employee name tags, and other necessary identifiers.
- Uniform replacement and upgrades
• Uniforms showing significant signs of wear or damage will be replaced on a scheduled or as-needed basis.
• The vendor should offer timely replacements of lost or irreparably damaged items, ensuring employees always have sufficient sets of uniforms available.
• Uniforms should be periodically updated for safety compliance and employee comfort (e.g., fabric upgrades, color updates, etc.).
• Inspection of uniforms for wear and tear, including replacement of damaged or worn items as required.
• Ensure all uniforms meet the agency and other regulatory standards for cleanliness, durability, and safety. - Cleaning and maintenance
• All uniforms must be professionally cleaned and sanitized according to industry standards.
• Laundry and sanitization services must ensure uniforms are free from hazardous materials, stains, and odors.
• Uniform repairs (e.g., stitching, buttons, and zippers) must be completed as part of the service, with no additional charge.
- Inventory management and tracking
• Each employee will be issued a set of uniforms (e.g., two sets of workwear and a set of high-visibility outerwear).
• Provide tracking for individual employees’ uniforms, maintaining accurate records of uniforms issued, cleaned, repaired, and replaced.
• Regular inventory checks should be performed to ensure that uniforms are always available, and replacements are made promptly when needed.
