RFP Description

The vendor is required to provide videographer and photographer services for include:
- Requirements prior to event
• Collaborate with communications associate appropriate agency staff to create a videography and photography content strategy that speaks to our region meets the goals of the program/event.
• Work closely with agency staff to ensure video or photography content is aligned with written content and broader communications objectives.
• Establish regular ongoing communication with agency staff and work closely with agency staff to ensure all aspects of the videography or photography of the event statement of work are handled.
• Ensure all authorized agents and/or staff of photographer/videographer are qualified to perform services in accordance with best industry standards (photographer will not subcontract any tasks to third parties without the prior consent by agency staff).
• Be familiar with the event agenda.
• Work with agency staff to develop a visual content strategy for specific department needs.
• Turnaround timeline expectations will be negotiated with each assignment and included in the statement of work prior to the event.
• Drones’ usage must be approved by event venue and agency staff.
• Drones must be flown by qualified personnel.
- Requirements during event
• Videographer and photographer will be required to have their own photography and videography equipment.
• Agency does not provide any videography equipment required to complete
• Must be willing to obtain consent from those who are being filmed and photographed and interviewed.
• Obtain consent from those who are to be interviewed.
• Complete videography or photography coverage of all parts of the event.
• Videographers or photographers covering events shall dress professionally and blend in.
• The videographer and photographer will not commercially market its services during the performance of the services at agency event.
- Requirements after event
• Perform basic post-processing or digital image editing services where artistically necessary.
• Enhancing the technical quality and other simple touchups are acceptable if the content is accurately depicted.
• Selected vendors will not be allowed to add or embed photos and videos with branding captions or watermark signatures on images provided to agency staff.
• Edited videos of interviews and event montage are to be provided to agency staff will full usage rights.
• Resultant videography or photography content to be delivered to agency staff in high resolution formats.
- Desired outcomes
• Ensure high quality video or photography materials with sufficient choice and variety in format (portrait, landscape, close up, and distant, etc.) for selection processes.
• Complete videography or photography coverage that highlights various aspects of the event that makes it appealing to attendees (members, non-members, sponsors, honorees, staff, etc.).
• Videography style: video assignments may include the entire creative process, turning concepts, scripts, and storyboards into final, edited productions.
• Assignments may include photojournalism style coverage of events and activities, news and production style interviews, interview and Q&A, testimonials, tv spots, short-form social media, and promo and marketing videos.
