RFP Description

The Vendor is required to provide a web-based on-line academic catalog management solution must:
• Be scalable and grow to meet current and future needs
• Provide a customized workflow that delivers an easy-to-use interface for non-technical staff/administrators and will mirror current campus process including all sign-offs and authorizations.  The workflow must permit an iterative edit-approval environment in which comments can be associated with edits, and in which other system users may also comment, and approve or reject edits. The creation and maintenance of the workflow for this system should not require College IT intervention.
• Provide tight security controls allowing administrators to specify permissions for content including read-only, modify text only, modify typestyle, etc. and support LDAP (prefer ADFS) protocol for administrative authentication.
• Provide concurrent access to an unlimited number of administrative staff (administrators and editors) to manage the content
• Provide an easy-to-use editing interface for non-technical staff/administrators that:
o Has search and replace and spell-check functions
o Tracks and highlight changes with color coding word-by-word
o Includes automatic indexing and table of contents creation
o Includes common editing functions as found in most publishing software
• Have version control and the ability to track changes with a robust audit trail; the audit trail must be segregated by catalog year.
• Provide multiple options for publishing (i.e., pdf, MS Word, comma-separated-value, etc.) and allow for social media and seamless website integration.  The proposed solution must include the ability to provide an auto-generated HTML e-catalog interface (through a single portal), and an HTML, smart phone compatible interface and be ADA compliant.
• Integrate institutional branding, page design and graphics with all output
• Provide the ability to reuse content for multiple publications
• Be linked in real-time to the catalog portal, with the ability to instantly and automatically generate a dynamic electronic catalog
• Have the ability to access both the public e-catalog, and the administrative portion of the software, from a PC, Mac, or Linux workstation, from any location with an Internet connection, using any standards-based browser (such as Chrome, Firefox and Edge), is mandatory. If the solution requires, for any reason or purpose, the use of software that must be installed on a workstation, that information must be provided in detail, including any platform limitations (Windows-only, for example).
• Permit users to maintain a retrievable list of courses and programs and other content of interest.  
• It is expected that the bidder will migrate all current catalog data into the system prior to “go-live.”  
• Archive catalogs automatically.
• Create a campus-specific user manual documenting the Colleges review process.
• The e-catalog portal must include consistent, user-friendly navigation, and also must also include a search function capable of returning results specifically for courses, and/or for programs, and/or for other catalog content exclusive of other catalog content and from the general campus website.
• System must have the ability to share data (both import and export) with Banner.  Ellucian Ethos API integration is the preferred integration method.
