The vendor is required to provide for microfilm digitization from aperture cards, microfiche, and microfilm rolls to digital images and to provide acceptable indexing of these images.
- Approximately one million microfilmed images, primarily of commercial building plans dating back to the early 1900’s, that are contained on 16 mm and 35 mm aperture cards, microfiche, and microfilm rolls that need to be digitized and indexed in a timely manner.
- Requirements
• Provide a proposal which will outline their process for digitizing microfilm in the quantity and type as outlined by the owner
• The existing microfilm or microfiche will be shipped to or picked-up by the awarded vendor, and all costs associated with the vendor.
• The vendor will digitally scan the microfilm, store it on their secured property, and maintain the film until they have been returned to building and safety.
• The rolls and fiche are to be captured in grayscale mode.
• The channels of all microfiche and microfilm rolls need to be captured and separated into individual document images.
• De-skew images as needed during scanning process for quality control.
• Blank images on the microfilm should be ignored.
• Output document resolution to be 300 dpi and provided in pdf format.
• Scanned images will be provided to owner on an external USB drive and secured FTP or SharePoint access on a periodic basis to be negotiated with the vendor.
• Provide quality control samples from the first batch of each type of microfilm.
• Owner must approve the product prior to the vendor completing the batch.
• Provide an index in excel format with each set of deliverables that identifies each permit number scanned and the associated image file name.
• Scanned images from aperture cards and microfiche will be combined and grouped into pdf documents based on the permit number and stored in folders with a maximum of 10,000 documents per folder.
• Scanned images from microfilm rolls will be separated into an individual folder for each roll.
