Cashiering, Scanning and Indexing System

The Vendor is required to provide cashiering, scanning and indexing system services for the efficient filing and recording of land record documents, lien filing, acceptance of passport applications and naturalization of citizens as required by the state and the federal government.
- This existing data, related index, and current search features will need to be converted to the proposer’s system, and the costs of this conversion.
- All documents must be scanned and stored.
- A bar-coding system is currently utilized.
- The system proposed must support scanning of a document and immediate return to the customer.
- All documents must be placed in a system of indexing that allows for simple and easy retrieval
- All cashiering must include appropriate internal controls to assure the integrity of handling funds and allow for timely deposits and disbursements.
- The cashiering system and scanning system should, however, have the ability to adapt with future changes to the workflow.
- The ability to have each index clerk both cashier and scan into the system at their own workstations.
