The vendor is required to provide personal computer (PC) replacement and installation services at various city facilities.
- The desktop and laptop computers are purchased from dell and microsoft.
- The city’s standard image includes, but is not limited to the following:
• Microsoft windows 11 OS microsoft office 365 pro plus
• Adobe reader
• Google chrome
- The computers need to be connected to the city’s network and to new or existing peripherals, such as flat panel monitors, wireless and wired keyboards and mice, PC speakers, PDA devices, scanners, etc.
- Configuration may be required on individual computers after a scheduled image push from the microsoft system center configuration manager (SCCM) or microsoft auto-pilot and intones.
a. City responsibilities
• Set and provide the computer replacement schedule for each department to proposer.
• Provide a set of instructions with the information that is required to deploy each computer and the associated peripherals.
• Designated department staff as the PC deployment coordinator.
• The designated person will be the main point of contact for the proposer and will act as a liaison between the information technology services department and other city departments.
b. Proposer responsibilities
• City staff prior to replacing their assigned computer.
• Interviews will most likely be virtual and require remote review of replacement workstations and laptops.
• Interviews will be initially conducted with departmental coordinators and IT staff.
• Software inventory for each computer prior to the scheduled replacement.
• All software, equipment and peripherals that are installed shall be documented
• Contact the end-user to arrange an on-site survey and interview to collect data as described in the instructions.
• Confirm equipment to be replaced both physically and on paperwork; determine needed software and peripheral upgrades; inform PC deployment coordinator of any special client software that must be reinstalled and coordinate the installation with the end-user; discuss anticipated installation date of new device(s) with the end-user.
• Unpack computers and peripherals from shipping boxes.
• Image workstation hard drives, as required for physical PC replacements.
• Configure computer for the end-user per the information obtained during the review process.
• Transport of equipment to and from the respective job sites or designated electronic surplus locations within the city.
• Responsible to transport e-waste to a centralized location within the IT department facility.
