- Major components being sought for a system include:
• Manage licensure discipline, tracking, and reporting
• Conversion of previous data from the current license platform
• Online capability for initial licensure, license verifications, and renewals
• Ad-hoc reporting
• System security components. desirable that it integrates with the boards e-profile.
• Integrated with the state’s document management system, file director, including correspondence tracking and identification.
• Test plan to execute testing before any moves to production; this includes initial installation and future enhancement testing
• Training and implementation options with costs and customizable options
• Provide a maintenance agreement with proposed costs and maintenance program details (encouraged to submit several options)
• User manual and online help
• System documentation and installation instructions.
- This project involves implementing a licensure information system with the following functions.
1. Data conversion
• Convert data from current vendor to the new system
2. Complaints and investigation tracking
• Follow a complaint from initiation to completion.
• Ability to document actions taken, people involved, and timelines.
3. Website
•Provide the initial website build and provide either service for changes, and allow administrative staff in the office the ability to make minor changes to the website.
4. Initial licensing, license verifications & renewals
• Allow online application services for applicants to apply for initial licensure.
• Allow online application for licensees to renew their licenses.
• Allow online process for licensees to change items or upload forms, and the system to notify our office of the change or upload.
• Provide the capability to the user to query their outstanding items for the application, the status of those applications, and if items such as ordered verifications have been sent.
• The capability for outside access for licensure verifications.
• The capability for credit card payment via integration with converge system.
5. Inspections
• Allow online inspection services and availability for completion of action items.
• Allow for online scheduling of inspections and upload of forms completed at the time of inspection.
6. Board national database
• Ability to electronically transfer licensure and CPE information daily.
7. Bamboo health
• Ability to upload a pharmacist license file daily to bamboo health for pharmacist license verification
8. Dynamic ad-hoc reporting
• To be able to retrieve or export information for data analysis.
9. Authentication
• The solution must integrate with the state’s identity provider (IDP) for citizen/public (azure b2c) and with azure Entra-id for contractors and employees.
10. Security
• Role-based security administration capabilities, where the user role defines functionality and data access.
• The administrator assigns roles and capabilities according to the system login.
11. Correspondence
• Tracking allow capability to internally or externally interface with file director system.
12. Test plan
• Documented test plan for execution of the test plan for initial implementation and future enhancements
13. Training
• Availability of training materials, training plan, and availability to conduct the training sessions.
14. User manual
• Availability of the user manual for state personnel.
15. System manual
• Availability of the system manual for state personnel.
16. Audit capabilities
• Provide the capability to track entry into the system by the person and time.
