The vendor is required to provide the necessary labor, materials, supervision, equipment, services, incidentals, and related items necessary to provide an event management software solution and a venue management software solution, both of which allow for customization.
• Manage rental reservations and bookings for multiple venues that have unique event spaces and equipment.
• Feed event information to templates, generating contracts and amendments.
• Calculate payment amounts and schedules, generating invoices.
• Collect credit card and electronic payments from clients.
• Store documentation and notes for each event.
• Allow users to view and export event calendars by venue.
• Track and report all event data, including operational details, and resource allocation.
• Generate logistical and financial reports, including revenue.
• Include customer relationship management (CRM).
• Provide a main registration page with design integrations and organizational information
• Allow breakout session registration page with ability to add speaker bios and attachments
• Include a special notices page for allergies or accommodations
• Generate billing and payments to include option for invoicing and to process refunds
• Provide correlating app for all features
• Ability to email event attendees via web-based version and app
• Meet agency IT security requirements.
• Provide data migration, importing data from existing system to new system.
• Provide user onboarding and training and on-going user support.
