Cloud based Accounting Solution

The vendor is required to provide accounting software, account edge pro, which primarily caters to small businesses.
- The current accounting processes at company also suffer from lack of real-time visibility, limited scalability, and workflow challenges. 
- These issues hinder timely financial reporting and timely decision-making. 
- Implementing a cloud-based accounting solution to replace account edge pro on-premises solution offers an opportunity for company to overcome these challenges and gain a competitive edge.
- The need for a new accounting system has also been brought on by the adoption of ifrs17, information technology hosting considerations, and a desire to improve efficiency and adopt the latest innovations in accounting software.
- As such we need a ‘right-sized’ solution.
- The current number of users with access to the accounting system is 16. 
- We anticipate this to be in the range between 20 to 30 users.
- Data migration and data archival
•    Responsible for planning, executing, and testing all the data migration activities from the existing systems to the proposed solutions and must provide a detailed approach and methodology for data migration. 
•    Where possible, ensure that the data present in the system is accurate and complete prior to the migration activities commencing.
- Roll out
•    Needs to ensure that all code customizations, configurations, interfaces etc. for proposed solutions agreed to be delivered as part of pilot implementation are ready before the final rollout. 
•    After the completion of pilot implementation, the bidder is expected to complete the roll out of the proposed solution and allied solutions as mutually agreed between company and bidder. 
•    The final phase of rollout, the bidder has to complete all the code customizations recorded as per the functional and technical specifications agreed with the company. 
•    The proposed solution(s) roll out is completed as per the project schedule in all the offices and branches of company.
•    The roll out is an end-to-end responsibility with total planning, data migration, hand holding support as per the scope of work. 
•    Company reserves the right to change the list of installations for roll out of the proposed solution(s) by the bidder. 
•    Would be informed of any such decision sufficiently in advance. 
•    In case of the rollout delays by the bidder, the financial penalty will be imposed on the bidder at the rate of 1 (one) % of implementation cost per week of delay or part thereof, subject to a maximum of 10 (ten) % of the implementation cost. 
•    The parallel running of the proposed solution(s) and the existing systems will last for three months, or satisfactory performance approved by the company before the discontinuation of the existing system.
- Roll out plan
•    It should be noted that company prefers a parallel deployment strategy with the new and legacy system operating in parallel with a direct cutover to the new cloud-based solution.
•    A detailed rollout plan by considering the complexity of the implementation.
