The Vendor is required to provide a fleet maintenance software solution that will assist in managing the city’s fleet of vehicles and equipment.
- Functional Requirements:
• Work order management (scheduled and unscheduled maintenance)
• Preventative maintenance scheduling and alerts
• Asset lifecycle tracking
• Inventory and parts management
• Fuel tracking and integration with fuel card systems
• Mechanic time tracking
• Inspection checklists and compliance tracking
• Reporting and analytics dashboards
• VIN decoding and vehicle specs retrieval
• Mobile access for field personnel
- Technical Requirements:
• Cloud-based preferred
• Role-based user access
• Secure data encryption and user authentication
• API capabilities for integration with:
o Financial systems ([e.g., Tyler, SAP, etc.])
o Telematics (e.g., Geotab, Samsara)
o Fuel systems
• Data import/export features
• Scalability for future growth
- Training and Support:
• Initial setup and configuration
• User Training (administrative and end-user)
• Ongoing technical support (helpdesk, ticketing system)
• Software documentation and user manuals.
- Provide a modern, cloud-based or on-premise software system that streamlines maintenance operations, improves data accessibility, and integrates with existing systems where necessary.
