The Vendor is required to provide from interested parties regarding an enterprise resource planning software to support the combined needs of the various county departments.
- Such solution should be able to record data and create reports, forms, and dashboards.
- Attain a solution that allows users to complete collaborative work and manage internal processes such as financial tracking, inventory management, applicant tracking, etc.
- There are several processes and tasks within the police department, such as financial budgeting, inventory management, and new hire applicant tracking.
- General Requirements
• Allow multiple users to work on the same document, spreadsheet, etc. at the same time
• Allow sharing of documents, spreadsheets, reports, and dashboards with viewers
• Allow different permission levels (i.e., users can edit, viewers cannot, etc.)
• Ability to create fillable forms/intake sheets that can be sent to others via link and/or email
• Collects data from forms/intake sheets and auto-populates spreadsheets
• Generate reports based on auto-populated spreadsheets
• Create dashboards that are linked to reports or spreadsheets and update as new data is recorded.
• Vendor provides services to help create specific workflows/solutions (financial tracker, inventory management/tracker, applicant tracker, etc.)
- Financial Requirements
• Ability to create groups, subgroups, and/or categories. (e.g., creation of SWAT, Underwater Search & Recovery, K9, etc. These groups/categories would be linked to financial components to run various reports such as “monthly expenditures by teams/units”)
• Currency formatting ($), Percentage formatting (%)
• Negative values formatting – should have some option or combination of ways to represent negative values (e.g., -100, (100))
• Depending on the software/platform may need the ability of users to create formulas.

• Employee Onboarding & Off boarding Checklists
o Track all onboarding and off boarding tasks—like paperwork, orientation sessions, equipment distribution, and account access—to ensure a consistent and complete process.
• Recruitment Pipeline Tracking
o Visualize candidate progress through each hiring stage (application, screening, interviews, offer, etc.) with real-time updates and automated status notifications.
• Pre-Employment Background Process Management
o Coordinate and track completion of pre-employment requirements such as polygraph examinations, psychological evaluations, and physicals. Set automated reminders and status flags to ensure timely completion and documentation.
• Time-Off and Leave Management
o Simplify PTO, FMLA, and other leave requests through centralized forms, approval workflows, and calendar integrations for better planning and reporting.
• Training and Certification Tracking
o Maintain a dynamic log of employee training courses, certification renewals, and compliance deadlines with alerts and progress dashboards.
• Performance Review Scheduling & Documentation
o Streamline performance evaluations by assigning due dates, notifying stakeholders, and storing completed forms in one secure location.
• HR Project Management
o Manage cross-functional HR initiatives like policy rollouts or benefits open enrollment and assign task owners, due dates, and progress tracking.
