The vendor is required to provide automated online reference checking solution must be capable of requesting, collecting, and securely storing employment reference checks for each preferred external candidate participating in the recruitment process.
- Automated employment reference checking is expected to change the reference checking process to the following:
• Once all recruitment assessments are completed (i.e., interviews) and a top candidate has been identified by the hiring manager through a formal recruitment and selection process, the hiring manager selects within agency HRIS system to have a reference check completed and selects the reference check question template to be used, adding any additional ad hoc custom questions if they choose.
• The automated employment reference checking platform and solution uses the candidate’s contact information from their application within the HRIS system and requests the contact information of their references (minimum of 3, two must be supervisory).
• If not integrated with HRIS system, the hiring manager enters candidate’s contact information into automated employment reference checking platform and solution.
• The automated employment reference checking platform and solution sends the reference check questions to the candidate’s reference contact for completion.
• The automated employment reference checking platform and solution collects, stores and summarizes the results of the reference checks.
• Hiring managers are notified when a candidate’s reference check is completed and have the ability to access the summary results and answers to the questions directly via the HRIS system.
• If not integrated with HRIS system, the hiring manager logs into automated employment reference checking platform and solution to access the summary results and answers to the questions.
• Once all the responses are gathered from the reference checks, the hiring manager uses the results as input to finalize the hiring decision.
