The Vendor is required to provide a digital credentials support solution (e.g., e-transcripts, e-diplomas) and related services, including physical (paper-based) transcript and diploma mailing services.
- The solution being sought would facilitate the documentation, exchange, and verification of information between the District, its students, and various other educational institutions.
- The solution would provide an information exchange between public and private high schools, colleges or universities, and, perhaps, an information exchange beyond the educational environment to include employers, professional associations, and more.
- Services include:
• Identity management system: the proposed system must allow the district's employees and students access using their assigned credentials (username and password) and the district's identity management system (Microsoft® ADFS) for single-sign-on (SSO).
• ERP integration: the proposed system must integrate with the district's ERP system (Ellucian® banner® 9) for seamless data transfer.
• Custom system integration: the awarded vendor will be responsible for any custom system integration required to ensure the smooth operation of the proposed system.
• Email and calendar integration: the proposed system must integrate with the district’s email and calendar/scheduling systems (Microsoft® exchange online o365) to send and receive all notifications using the district's domain name.
• Customizable interface: the proposed system must be able to customize the interface to use the district’s branding.
• DNS record: the proposed system must be able to use a cname DNS record for the system's URL address.
• Data encryption: data and communication must be encrypted at all times, including at rest and in transit, to ensure the highest level of security.
• Web-based access: the proposed system's web-based access and management portal must use tls 1.3 encryption for all web pages.
• Data backup: the proposed system must secure and regularly back up applicant data.
• Disaster recovery or business continuity: the respondent must provide a disaster recovery or business continuity plan to ensure the system’s continued operation in case of an unforeseen event.
• Record retention: the proposed system must maintain user data in accordance with the district’s record retention requirements.
• Data ownership: all data in the system is the property of the district at all times.
• Data transfer: at the end of the contract term, the vendor awarded through this proposal process must provide the district with all of the data relating to the district in a format usable by the district. Acceptable formats include any Microsoft® format, csv, pdf, xml, JSON, etc. It's crucial that the data isn't given to us in a proprietary format that can't be utilized.
• System support: the awarded vendor must provide technical support, training, and maintenance for the proposed system.
