The Vendor is required to provide project management and consulting services to replace our existing financial enterprise resource planning (ERP) software.
- Provide project management and strategic consulting expertise to support the successful execution of replacing our current ERP software.
- The project includes the following phases:
• Development of the project framework including requirements gathering and process review for redesign and optimization.
• Assistance through the competition process to select an ERP software replacement.
• Support through the implementation and post implementation phase.
- Systems are currently utilized in the City and will require replacement by the ERP solution; however, this is not the exhaustive list of the ERP scope:
• Microsoft dynamics GP – current core financial system including cash, accounts payable/receivable, state payroll/human resources, purchasing (PO assignment), inventory, fixed assets, permitting, project accounting, auditor, security/permissions, ticketing/bylaws, workflow, e-mail capabilities (eSend.)
• Central Square (diamond) – property taxation, utilities, business licensing, bylaw enforcement, GL changer.
• Virtual city hall (VCH) – online parking ticket and business license payment.
• SmartLIST builder (reporting analysis)
- Key deliverables include but are not limited to:
• Act as a liaison between the senior leadership team, project team, software vendor(s) and city staff.
• Work with the selected software vendor and city’s project team to develop and manage a comprehensive implementation project plan, detailing project stages, milestones and resources.
• Develop and implement a change management plan.
• Ensure adequate knowledge transfer to city staff to configure, manage, operate and support the new ERP software.
• Provide project status reports and deliver presentation as deemed appropriate to the senior leadership team.
• Be a liaison with the ERP software vendor(s)’ team and the city with any post implementation issues, troubleshooting or new tasks.
- Conduct a comprehensive assessment of the City’s current ERP environment including a process redesign phase; identifying all legacy systems, integrations and customizations.
