The Vendor is required to provide to acquire a cloud-based SaaS solution to streamline and standardize the inspection process for local health departments.
- The software should simplify inspections, improve data accuracy, and ensure compliance with state public health regulations.
- Key Deliverables & Functionality
• Inspection management: the system must support routine, re-inspection, and complaint-based inspections for various categories, including but not limited to food, housing, pools, recreational camps, body art, tanning, and tobacco.
• Report generation: the software must generate inspection reports and order letters at a minimum.
• These reports should be customizable and comply with public health regulations.
• Regulatory compliance: the system must have a built-in library of regulatory citations from general law chapter 111.
• It should allow for the inclusion of these citations as well as local regulations.
• Customizable checklists: the platform should allow users to create and customize inspection checklists tailored to different types of inspections or specific town requirements.
• The software must provide checklists and reports for food, housing, pools, recreational camps, body art, tanning, and tobacco.
• Digital signatures: the ability to capture the signature of the person in charge digitally is a mandatory feature for all inspection reports.
• Document customization: the software must allow for the customization of reports, order letters, and other documents to meet the unique branding and specific needs of individual towns and the county.
• User & access management: the system should support adding and managing users, including the ability to add new towns and users as needed, with different levels of access. This bid is to provide inspectional software for nine towns plus four regional licenses. It is preferable for a portion of the regional licenses to be seasonal.
• Training & support: the vendor must provide comprehensive training for all users as well as ongoing technical support.
• Updates & maintenance: the annual subscription cost must include all software updates, maintenance, and bug fixes to ensure the system remains current and functional.
• Capacity/project schedule: the vendor should be able to deploy new software immediately upon contract execution
- Software Requirements:
• Customizable checklists: the platform should allow users to create and customize inspection checklists for specific town requirements.
• The software must provide inspectional checklists and reports for, at a minimum, food, housing, pools, recreational camps, body art, and tanning.
• Digital signatures: the ability to capture the signature of the person in charge digitally is a mandatory feature for all inspection reports.
• Document customization: the software must allow for the customization of reports, order letters, and other documents to meet the unique branding and specific needs of individual towns and the county.
• Achieve seamless data migration: the selected vendor must be able to automatically upload and ingest both the existing establishment data and the most recent digital inspection records from the current, systems used by the member towns. This objective ensures historical continuity and a smooth transition without service interruption or loss of critical historical data.
