Grant Management Software Solutions

The Vendor is required to provide regarding grant management software solutions that address the full grant lifecycle.
- Provide comprehensive grant lifecycle management, including the issuance of grants, management of grants received from other entities, compliance with applicable federal laws, and integration with the county’s existing workday system.
- Issuing & managing grants
•    Application intake, review, approval, and amendment management.
•    Compliance tracking, audit readiness, and automated reporting.
- Receiving & managing external grants
•    Tools to manage the financial, performance, and compliance aspects of grants received by the county.
•    Tracking and reporting on funding sources, deliverables, and milestones.
- Compliance & auditing
•    Core functions to ensure adherence to federal laws, regulations, and grant terms.
•    Documentation retention, version control, and audit trail capabilities.
- Sub-awarding & monitoring
•    Subrecipient risk assessment, monitoring, and performance evaluation tools.
•    Reporting and documentation tools to ensure compliance with sub-award requirements.
- Workflow management
•    Configurable workflows for grant application reviews, approvals, amendments, and closeout.
- Integration with workday
•    The proposed solution must demonstrate full interoperability with county’s workday system, including but not limited to:
•    Financial integration: real-time or near-real-time synchronization of grant budgets, expenditures, and payments with workday financial management.
•    Procurement & supplier contract integration: support for passing award, subaward, and vendor data into workday procurement and supplier contract for requisitions, purchase orders, supplier invoicing, and payments.
•    Data exchange standards: use of secure APIS, workday web services (WWS), or other county-approved methods to ensure compatibility and maintain data integrity.
•    Audit traceability: ability to link grant management records directly to related transactions and documents stored in workday.
•    Security & compliance: role-based access control aligned with the county’s workday permissions framework.
