The vendor is required to provide consultants and solutions architects for the design, development, and implementation of an online emergency management hub.
- Utilizing the Microsoft 365 framework and associated tools, the hub will serve as a secure, organized, and collaborative environment to manage all emergency-related documentation, resources, and communications.
- The emergency management hub will enable real-time sharing and updating of information during emergency events, as well as improving coordination, communication, and situational awareness across both internal and external stakeholders.
- Custom software, modules, or plugins developed exclusively for this project shall only be utilized at the discretion of county it.
- Source code and associated documentation for any custom software, module, or plugin shall be provided upon project completion.
- Work to be completed remotely in an existing production Microsoft 365 environment.
- This project shall utilize Microsoft 365 framework and associated tools – such as SharePoint, teams, power bi, planner, copilot, and power automate. It is anticipated that the proposed solution will utilize a combination of Microsoft 365 tools to provide a comprehensive solution.
- The centralized document repository shall be utilized to store critical documentation related to emergency management.
- Organize documents in structured folders with version control and permission settings.
- Enable access controls to ensure sensitive information is shared only with authorized personnel.
- Enable version control for documents, real-time updates, and access logs.
- Ensure system redundancy and offline accessibility of key documents, such as replicating / linking to local file server.
- The ability to invite internal and external stakeholders.
- A landing page/start page with quick access links to key systems, tools, and documents.
- Integration with a task management system to track action items and responsibilities, including status of actions (e.g., “in progress”, “completed”, “pending”.)
- Inclusion of a system or tool to capture meeting notes/meeting minutes.
- Version control to be enabled for documents, real-time updates, and access logs.
