The vendor is required to provide employee recognition software and platform with the following capabilities:
- Core functional requirements
1. Recognition features
• Focus on employee recognition more, rather than rewards.
• The rewards options must have the ability to be hidden from user visibility and access;
• Enable peer-to-peer, manager-to-employee, and department or team-wide recognition;
• Provide options for real-time, on-the-spot recognition;
• Include a customizable points-based reward system that integrates with a gift catalogue or incentives that can be turned on or off;
• Public and private options for employee recognition messages;
• Customizable values or recognition criteria;
• Clean, simple interface;
• Admin, manager, and employee access levels with tailored permissions;
• Individual and team-level recognition abilities;
• Dashboards for recognition activity (e.g., who is recognizing whom, frequency, by department);
• Exportable data reports;
• Recognition moderation process for removing or flagging inappropriate content; and
• Support for university branding.
2. Milestone and tenure tracking, and campaign programs
• Automatic tracking and recognition of employee tenure and work anniversaries pulled from human resources information systems (HRIS) integration;
• Automate the issuance of milestone reward points and gifts based on predefined criteria (e.g., 1, 3, 5, 10+ years); and
• Generate alerts and notifications for upcoming employee milestone dates for direct managers.
3. Gift management
• Offer a curated catalogue of gift options (physical and digital) for milestone celebrations and an extensive list of reward vendors;
• Allow for budget control and approval workflows;
• Include delivery and fulfillment tracking;
• Fulfillment process, including shipping and delivery to employees at various locations;
• Administration and tracking of milestone eligibility are fully automated through HRIS integration; and
• Flexibility for the organization to opt-in or opt-out of this service during the contract term.
4. User access and integration
• Single sign-on (SSO) and role-based access control;
• Integration with HRIS for accurate employee data synchronization;
• Integration with communication platforms (microsoft teams and outlook) for recognition notifications;
• Automated user creation and integration with PeopleSoft; and
• Expect approximately 2500 employees utilizing the platform.
• The solution shall not provide a cap.
5. Reporting and analytics
• Dashboard to track recognition activity and engagement trends;
• Reports on milestone completions and gift distributions;
• Administrative access to aggregate data; and
• Ability to track participant and engagement by user team.
- Implementation services
• End-to-end implementation support;
• Platform configuration and customization to meet organizational needs;
• Data import and synchronization setup with current human resources information system;
• User acceptance testing (UAT) and training sessions for HR and end-users;
• Go-live support and knowledge transfer; and
• Supply project management throughout software integration.
- Support and maintenance
• Ongoing technical support during business hours (or 24/7 if available);
• Ongoing client support;
• Software updates and enhancements;
• Account management and periodic performance reviews; and
• Training support and communication support.
