The Vendor is required to provide for integrated employee health and safety and disability management solution.
- Provide a next-generation employee health and safety and disability management solution, purpose-built for a large, complex public education organization and fully integrated with a tier-1 ERP human capital management platform.
- The solution must ensure seamless data flow between H&S operations, District’s core HCM and district absence and recruitment systems, enabling consistent reporting, case/incident tracking, and alignment with HR, payroll, and operations data.
- Core System Integration and Data Alignment
• Integrate the H&S solution with the Tier-1 ERP system ensuring seamless, secure, and bi-directional data flow for employee, organizational structure, assignments, and short- and long-term leaves, absence, payroll, and operations data.
• Leverage employee and organizational structure data from the ERP/HRIS platform to ensure consistency and data integrity across systems.
• Support the integration and/or linking to a third-party Learning Management System (LMS) for course registration as a corrective action.
• Ensure secure integration with external partner systems, such as agency, for claim status, cost tracking, and regulatory compliance.
• Support data import and export of operational fields, including those used for emergency management.
- Health & Safety Program Management
• Provide tools for identifying, assessing, and mitigating workplace hazards, including a risk matrix and corrective action tracking.
• Support Incident Investigation through structured workflows for reporting, investigating, and analyzing incidents, including Root Cause Analysis and follow-up documentation.
• Facilitate Workplace Inspections using configurable checklists, including scheduling, conducting, automated reminders, and tracking inspection history.
• Maintain a central repository for Safe Work Procedures by role, location, and task, supporting version control and distribution tracking.
• Support Joint Health & Safety Committee requirements, including member tracking, meeting minutes, agendas, action item tracking, and training records.
• Enable the ability to link with the existing work order system to submit deficiencies or corrective actions identified during inspections.
- Disability Management and Return to Work
• Provide a solution that addresses Disability Management functions for both occupational and non-occupational illnesses and injuries, and wellness initiatives.
• Describe how the system manages Gradual Return to Work (GRTW) plans and supports accommodation tracking and stakeholder collaboration.
• Manage secure storage and access controls for confidential documents, including medical notes and assessments, with functionality for secure file upload by external users (e.g., medical providers).
• Provide automated notifications and reminders, including automated reminders for medical forms, with the frequency configurable by the disability case manager.
• Describe how AI-supported automated tasking can be used for routine communications, such as requesting updated medical information, following up on documentation, and routing received documents to the employee file.
