The Vendor is required to provide to transition to a new Financial and Municipal Software by January 1, 2029, as support for the current application Microsoft Dynamics Great Plains (GP) ends on December 31, 2029.
- Recognizing the importance of comprehensive business analysis (including process mapping and needs assessment), coupled with the complexity of integrating multiple systems and modules, the City is seeking Proposals from qualified Vendors who can act as a pre-implementation consultant.
- The software replacement will consist of, at minimum:
• Executive Manager, Corporate Services
• Director, Information Technology
• Manager, Accounting & Assurance
• Executive Assistant, Corporate Services
- Conduct an assessment of the City’s current systems, functional processes, and technological infrastructure. Using this evaluation, create in-depth documentation of the outcomes required from new software to support the City’s operations, as well as identifying potential process improvements that could be supported by new software.
- Assessment of Technological Infrastructure
• Review of the City’s current technological infrastructure, including hardware, software, and network systems. Identify potential issues or areas for optimization
• Evaluate the City’s readiness for a potential cloud-based ERP solution
• Technical requirements for stand-alone applications must be determined to ensure secure connectivity to the final software
- Give a high-level overview of the municipal software market by size (small, medium, large), including market maturity, standard and optional modules, and typical pricing for available solutions
- Define reporting objectives, report types, and required detail, including a robust library of standard reports, tools, and drilldown capabilities
- Specify essential analytics features for insight and decision support
- Migrating data from existing systems to the new software (i.e., types of data, data cleansing, transformation process, and ensuring data integrity during migration)
