RFP Description

The vendor required to provide regarding software solutions to automate the shift scheduling of a wide variety of employee classifications, including student and volunteer workers.
- The scheduling software should aid locations in creating and sharing schedules for how the public service areas will be covered by staff.
- The scheduling software should:
•    Be designed for creating staff, student worker, and volunteer schedules, specifically for service point staffing 
•    Be available for purchase through existing contracts or cooperative agreements 
•    Integrate with the county’s Workday and Active Directory systems 
•    Offer an auto scheduler based on staff availability and limits 
•    Offer dynamic employee scheduling, ideal for hourly shift-based workforces 
•    Offer multi-branch and service-point scheduling 
•    Offer API or data export capabilities 
•    Feature a robust API for creating native integrations with other systems and exports for payroll processing and time clock data 
•    Market to public libraries for staff and service point management, with features like auto-fill shifts and automated shift bidding 
•    Include time card reports 
•    Store or read all current employees name, master schedule (days and hours they normally work,) approved time off, trainings, meetings, list of qualified tasks, meal and break time preferences 
•    Scheduling software must be able to handle partial days off 
•    Track task rotation for each employee, to optimize variety of tasks (task history)
•    Accommodate large meetings, some that take place over several days, and optimize attendance of workforce so that all may attend or ones that cannot are easily identified 
•    Handle unplanned or forgotten absences, updating all employee task histories accordingly 
•    Handle manual overrides for any schedule changes (e.g., trainings, normal shifts, meetings, etc.) 
•    Track and schedule training or schedule quotas, per employee 
•    Allow creation and tracking of custom tasks to occur outside of scheduled hours 
•    Provide overview of assigned tasks to streamline changes for service floor coverage 
•    Allow for different levels of edit and view access. 
•    Should include location wide view access for view only staff accounts 
•    Include means to create a template schedule that is replicated 
•    Allow for clocking in and out 
•    Accommodate the addition of sub shifts.
