The Vendor is required to provide the necessary labor, materials, supervision, equipment, services, incidentals, and related items necessary to provide student conduct software.
- User numbers will vary by college opting to use the software.
• Compliance with FERPA rules and regulations.
• Ability to have customizable levels of administrators and users, with the ability to view different categories for each.
o Examples of roles and user types include, but is not limited to, title ix coordinator, dean of students, investigator, security/police, and academic deans.
• Identify students and their specific conduct issues.
• Cross-reference a student to identify involvement in multiple cases.
• Provide calendar follow up notifications by email and/or text.
• Workflow automation to automatically notify specific administrations based on a conduct event.
• Create/generate email and text notifications for students at various stages throughout the investigative and disciplinary process.
o Ability to configure notification templates and forms without requiring vendor development and no scripting or programing knowledge
- Track multiple types of student conduct issues with the ability to establish sub-categories, including but not limited to:
• Academic integrity
• Title IX violations
o Title IX prohibits sex-based discrimination in any educational program or activity that receives federal financial assistance.
• Classroom misconduct
• Security incidents
• Concerning behavior/support of students in crisis
• Threatening behavior
- Ability to link cases to students, staff, witnesses, and external parties within the context of privacy and Personal Identifiable Information (PII) compliance.
- Support for intake forms or external complaint forms submitted securely via portal or mobile device.
- Ability to sort by incident type and campus location over a period of time.
- Ability to generate reports of current, closed and overdue cases.
- Ability to report on individual student history of conduct.
- Ability to report conduct types by location.
- Ability to report case count by gender, ethnicity or other parameters.
- Ability to report case count by individual submitting the report.
- Ability to export csv data.
- Ability to provide audit trail changes in report-like context with a minimum of username, timestamp, field changed, and original versus new values.
