Transcript Verification Software

The Vendor is required to provide a comprehensive software solution designed to expedite high school and college transcript verification and to streamline, standardize, and improve the efficiency of the transfer credit evaluation process.

- The College is seeking a tool to assist with compiling data from prospective students’ high school and college transcripts.
- The College wishes to obtain a comprehensive and robust data verification software solution that will facilitate the College's work to expedite the prospective student experience.
- Support data verification by supporting multiple customizable workflows that automate the intake, reading and verification of transcript data. This must include rule-based routing (by institution, student type or program). Provide audit trails and status tracking at each stage of the workflows;
- Process the documents and capture the course data to map course equivalencies in predefined program requirements;
- Include a comprehensive suite of pre-built reports that cover common use cases without requiring customization. These reports must include transcript processing time and volume of transcripts processed per month;
- Automatically calculate agency based on imported transcript data using institution-specific rules. These may include weighted agency options (e.g., recalculation of last 60 credits earned); grade scale conversion; and agency recalculation upon data update.
- Solution has been offered and supported by the firm for no less than five (5) years;
- Robust integration or API functionality with Ellucian Banner, and SLATE (CRM).
- Robust initial and on-going client support which includes uploading initial data into the platform, periodic training for the system administrators, as well as a strong support partnership for the life of the contract;
- Technology functionality requirements:
o    Run in a hosted environment ("Software as a Service");
o    The environment must be a secure facility and include frequent backups (or some other method to ensure an up-to-date copy), off-site storage of the data, and full disaster-recovery capabilities;
o    If it is hosted in a public cloud, the cloud provider and the level of service must be specified;
o    All data transmissions must be encrypted; all web traffic must be via SSL;
o    The College owns its data and must be able to extract and download any or all of it at any time;
o    In addition to any other reporting features, all data must be accessible in a standard downloadable format (e.g., CSV).
- Workflow capability that includes assignment and approval functionality, to send tasks and reminders to end-users;
- Single sign-on-capability;
- Robust reporting functionality, including but not limited to standard reporting and exporting features, the ability to create and save ad hoc reports is preferable.
