RFP Description

The vendor required to provide for a robust and scalable SharePoint online-based content management system (CMS) system should be capable of handling various types of digital assets and records, ensuring efficient management and seamless user experience.
- Objectives
•    Digital transformation: fully transition from paper-based to digital workflows, reducing the reliance on physical documents. 
•    Data consolidation: integrate disparate data sources (network drives, drop box, SharePoint, OneDrive, teams) into a centralized SharePoint online platform for streamlined access and management. 
•    Advanced document management: implement a sophisticated document management system within SharePoint online to facilitate easy storage, retrieval, and collaboration on digital documents. 
•    Enhanced digital media management: develop a system for efficient storage, categorization, and retrieval of digital media assets, including images, videos, and multimedia content. 
•    Robust records management: establish comprehensive records lifecycle management practices within SharePoint online, ensuring data integrity, compliance with legal retention standards, and efficient archival and retrieval processes. 
•    Web content accessibility: improve the accessibility and management of web content, ensuring that information is easily accessible to all users, including those with disabilities via a phase 2 corporate intranet solution. 
•    User training and adoption: facilitate training programs for staff to ensure smooth adoption of the new CMS, emphasizing paperless operations and digital workflow management. 
•    Security and compliance: ensure the CMS adheres to high standards of data security and privacy, with compliance to relevant regulations and institutional policies university must adhere to, including data privacy standards and policies. 
•    Innovative use of SharePoint features: leverage SharePoint Online and Microsoft’s advanced features for automated information lifecycle management and eDiscovery to create a state-of-the-art CMS. 
•    Continuous improvement: establish a framework for ongoing evaluation and enhancement of the CMS to keep pace with technological advancements and evolving organizational needs.
