The Vendor is required to provide to replace the legacy intranet solution with a modern employee experience portal that will allow for user centered design, personalization based on user role, improved search and navigation, and collaborative tools.
- Provide the platform and perform the related professional services (including but not limited to system design, development, implementation, change management for adoption, knowledge transfer, and support while ensuring alignment with established office technical standards where applicable) in a timely and professional manner.
- Future state vision:
• Optimized information access, including, but not limited to:
o Intelligent search and user-centric navigation with clear structure and user journeys for seamless resource access
o Standardized and centralized content management with automated notifications for a self-sustaining platform
o Secure tailored Mobile app/remote intranet access without reliance on physical office network connection
• Tailored employee experience, including, but not limited to:
o A centralized hub primary entry point intranet for resources, materials, and task checklists
o Personalized content relevant to employee functions, supported by integrated insights and timely reminders
o Digitized and integrated forms with backend workflows for improved tracking and submission
• Enhanced communication and collaboration, including, but not limited to:
o Platform for agency-wide interaction, knowledge sharing, and skill-based colleague search with a shared contact database

- Content Management
• Ability to manage and publish portal-native content (e.g., announcements, internal updates) with version control and governance for accuracy.
• Integration points to office ECM solution for document retrieval, ensuring staff access the most current and authoritative files.
• Role-based permissions for creating and viewing intranet content.
• Modular page layouts and visual elements to enhance usability.
- Personalization and Communications
• Delivering a personalized dashboard or homepage with relevant content, updates, and shortcuts based on user profile and activity
• Contextualizing information feed to the individual user, showing information of interest from their groups, workspaces, or prescribed agency feeds
• Supporting a crucial role-based view functionality (e.g., manager view), ensuring people see content relevant to their specific duties and organizational unit
• Enabling users to customize the portal interface and designate personalized quick links lists to frequently used tools and information
• Featuring a news feed on recent portal activity, displaying new content, new members, and activity entries hyperlinked to the respective entities
• Providing an organizational calendar that tracks all relevant dates, including organization events
• Allowing users to receive alerts on new activities or changes in various platform sections (e.g., workspaces, document libraries, discussion forums)
• Providing a centralized source for official communications such as all-office notices or newsletters
• Ability to consolidate and present “to do”/tasks pending and/or a user’s open service requests from multiple systems in a consolidated panel for users
• The ability for the intranet to serve as a central, accessible hub for all organizational announcements, supporting both personalized experiences and consistent communication
