Computerized Maintenance Management System Replacement

RFP Description

The Vendor is required to provide for a new computerized maintenance management system (“CMMS”).
- The City will require software, configuration and implementation services, ongoing maintenance, training, and support services for the CMMS (the "Solution").
- Solution Include:
•    The solution must be a cloud-based SaaS.
•    The solution must be highly configurable. Initial tailoring must be performed by the contractor with Department input.
•    Department prefers systems that do not require modification to base code (customization). All customizations made by contractor shall be properly documented and included with all future releases as part of the base code.
•    The solution must have a well-defined, all-inclusive upgrade process for future software releases.
•    The solution must meet Americans with disabilities act regulations.
•    The solution must comply with all current government laws, rules, regulations, standards, and web based transaction encryption standards.
•    Development licenses for all system utilities and tools shall be provided and will become the property of Department upon system acceptance.
•    The city shall be the owner of all data contained within the solution.
•    Manage the inventory for multiple asset types including various types of water and wastewater treatment equipment.
•    Create, store, manage, and track a wide variety of asset information.
•    Provide for the submission, tracking, assignment, and workflow of service requests and work orders from multiple departments and associate the requests to none, one or multiple workflow paths.
•    Allow users to create and manage a wide variety of service order types, including, but not limited to emergency, corrective, preventative, and asset inspections, with real-time updates between the office and field.
•    Provide a robust and flexible mobile application for creation and management of service orders in the field.
•    Provide modern and flexible service order scheduling and routing tools.
•    Include an industry-standard suite of reporting utilities.
•    The Solution shall support mobile capabilities in the field.
•    The Solution shall support access across multiple device types including workstations and mobile devices.
•    The Solution shall support broadband cell cards, PPTP and SSL client, and clientless with at least 256- bit encryption.
•    Performing and documenting the business requirements discovery and configure the software accordingly.
•    Tracking all configurations and instilling practices so that configurations do not interfere with essential business and system functions.
