The Vendor is required to provide cloud-based timekeeping system to capture employee time and attendance data with support for shared kiosk clock-ins, identity verification, and integration with Acumatica for payroll and financial processing.
- Functionality
1. Kiosk mode must:
• Support up to three (3) active kiosks operating concurrently
• Prevent access to administrative functions
• Support rapid, sequential clock-ins without requiring individual logins
• Operate on dedicated hardware (tablet, terminal, or browser-based kiosk)
o Operating system – secure Linux with periodic security updates is preferred over windows based systems
2. SaaS abilities:
• Unique overtime rules by employee or department
• Ability to track PTO balances or integrate with Acumatica’s PTO balances
• Ability to track Lates and absences
• Ability to customize popup menus and notifications upon clocking in/out
- Identity verification and anti–time theft controls
1. Biometric authentication (preferred)
• Facial recognition and fingerprint recognition
• Biometric data must:
o Be securely encrypted
o Comply with applicable privacy and biometric data regulations
2. Badge-based authentication (acceptable alternative)
• Badge or card-based authentication is acceptable only if:
o Capable of reading hid iclass se card reader
• Employee verification must integrate with pre-existing employee badge credentials and their embedded unique identification codes.

- Data integration requirements
1. Direct integration (preferred)
• API-based or certified connector integration with Acumatica
• Automated transfer of:
o Regular hours
o Overtime hours
o PTO and leave hours
o Employee identifiers
o Job, department, or cost codes
• Integration must support scheduled or on-demand data synchronization.
2. File-based integration (acceptable)
• Export of timekeeping data in excel (.xlsx or .csv) format
• Export structure must be:
o Consistent
o Well-documented
o Import-ready for Acumatica without manual manipulation.
